1. About Us
Event Rental Solutions is operated by Frost Trading Ltd and provides charcuterie cart hire services based in Bedford, UK. By booking or using our services, you agree to these Terms & Conditions.
2. Pricing & What’s Included
Our pricing is as follows: DIY Collection Hire is £120 per 24-hour period. Full-Service Hire (Bedford only) starts from £220 per 24-hour period.
DIY hire does not include delivery, setup, or collection. Full-service hire includes delivery and collection within Bedford only, subject to availability and suitable access.
All hires include the cart and its components only. Catering, food, drinks, ice, serving plates, cutlery, and consumables are not included. The customer is responsible for sourcing, preparing, and managing all food and beverages.
3. Booking & Payment
A 50% deposit is required to secure your booking date. The remaining balance must be paid 7 days prior to your event. Bookings are not confirmed until the deposit has been received.

4. Hire Options
We offer two types of hire: DIY Collection Hire, where the customer collects and returns the cart, and Full-Service Hire (Bedford only), which includes delivery and collection.
5. Rental Period
All hires are for a 24-hour period.
For collection hires, collection will take place within an agreed time window, typically between 9:00am and 1:00pm, unless otherwise agreed in advance. The cart must be returned by 11:00am the following day.
Earlier or later collection times may be available on request, subject to availability.
Delivery and collection times for full-service hires will be agreed in advance based on your event.
Late returns may incur additional charges, which will be reasonable and proportionate to the delay.
6. Collection & Return (DIY Hire)
Collection and return take place at MK43 9JT. Full address details will be provided after booking confirmation. The customer is responsible for safe transport of the cart. The cart must be returned in a clean and usable condition, allowing for reasonable wear and tear.
7. Delivery (Full-Service Hire)
Delivery is available within Bedford only and is subject to availability, scheduling, and suitable access conditions. Any parking restrictions, access limitations, or special requirements must be communicated in advance.
Additional reasonable charges may apply for delays caused by restricted access, waiting time, or incorrect information provided by the customer.
8. Use of Equipment
The cart must be used for its intended purpose only and must not be overloaded or misused. No permanent fixtures, adhesives, or alterations may be made. Any signage or decoration must be removable and must not cause damage.
9. Food & Safety
We do not supply catering, food, drinks, ice, or consumables. The customer is fully responsible for food hygiene, storage, preparation, and safety. While the cart includes features to support temperature control, responsibility for food safety remains with the user.
10. Damage, Loss & Cleaning
The customer is responsible for the cart during the hire period. The cart must be returned clean and free from food waste. Charges for damage, loss, or excessive cleaning will be based on reasonable repair or replacement costs.
Where applicable, we may request payment for damages within a reasonable time after inspection. Evidence of damage or loss may be provided.
11. Cancellation & Refunds
Deposits are non-refundable as they secure your booking date and cover administrative costs. However, where possible, bookings may be transferred to an alternative date with reasonable notice, subject to availability.
If we are able to rebook your original date, we may offer a partial refund at our discretion.
Cancellations made more than 7 days before the event may be rescheduled, subject to availability. Cancellations within 7 days of the event are non-refundable.
If we cancel your booking, you will receive a full refund of any payments made.
12. Right to Cancel
Under the Consumer Contracts Regulations 2013, you may have the right to cancel within 14 days of booking. However, this right does not apply to services related to leisure activities where a specific date or period of performance is agreed.
By confirming your booking, you acknowledge and agree to this.
13. Liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, or for breach of statutory rights under the Consumer Rights Act 2015.
Subject to this, we are not liable for any indirect or consequential loss.
14. Outdoor Use
The cart may be used outdoors only if placed in a covered and weather-protected area. The customer is responsible for protecting the cart from weather damage.
15. Refusal of Hire
We reserve the right to refuse or cancel a booking where there are reasonable concerns regarding misuse, safety, or risk of damage.
16. Force Majeure
We are not liable for failure to fulfil bookings due to events beyond our reasonable control, including severe weather, illness, or unforeseen circumstances.
17. Changes to Terms
We may update these Terms & Conditions from time to time. The version in effect at the time of booking will apply.

Damage & Replacement Pricing Guide
The following charges are indicative and reflect typical repair or replacement costs. Final charges will be based on actual costs incurred.
- Missing or damaged serving tongs: £5 each
- Stainless steel tray: £20 per tray
- Clear hinged lid: £25 per lid
- Ice pan: £30
- Fold-out side shelf (damage): £40
- Structural cart damage (minor): £50–£150
- Structural cart damage (major): up to full replacement cost
- Deep cleaning (excessive): £40–£80
Charges will be reasonable, proportionate, and supported by evidence where applicable.
